Beacon Data Privacy Options

Beacon provides several options to meet your data privacy requirements. Here are four to know about.
1. Local Storage
You can select workstation local storage. In this configuration, print jobs are encrypted and stored on employee workstations and then released to the printer from the workstation upon successful user authentication at the printer. The document (print job) never leaves your network. By not checking the cloud option shown below, the system will default to local storage only.
2. Print Scout Collected Information
You can decide what information is collected by Print Scout. For example, some customers choose to not collect the document name because they consider this private (personal) data. Print user information can also be hidden or not collected depending on the field, as shown below.
Personally identifiable information (PII) can be protected by choosing to not collect specific print user information, as shown in the following table:
3. System User Role
The Print Analyst role allows you to view all print data without seeing any names associated with the transactions. In other words, you can view and explore print data in the Print Analytics dashboard, but no print user information is shown. You can view and explore departmental level data but not user-level data. For example, the number of print users is not shown in the Department view of the dashboard explorer below, and there is no option to drill down into user detail.
4. Print Analytics Data Restrictions
Pharos employees cannot see your Print Analytics data. The Print tab is not accessible to Pharos administrators. If you wish to allow access to Print Analytics data, you must explicitly invite the Pharos employee to your tenant as a system user.
